POST is recruiting for a Technical Records Specialist 1 position in front-line customer service supporting a dynamic work environment. The incumbent provides a variety of records support functions; reviews and processes documents; determines and explains compliance with laws, rules, regulations and policies and takes appropriate action; maintains manuals and/or computerized records systems; performs related work and other duties as necessary, all with exceptional customer service. PLEASE NOTE: The successful applicant will be required to complete a background investigation, polygraph examination and comply with our drug policy. Please review the ISP Drug Policy and ISP Grooming and Appearance Standards. Example of Duties POST provides training for as many as 200 different criminal justice agencies. The Technical Records Specialist assigned to this unit is responsible for: - Providing extensive customer service in person, over the phone, and through e-mail, explaining requirements, processes, and procedures. - Reviewing, evaluating, approving, and processing records and/or documents. - Scanning and indexing records for digital storage. Conducts involved searches which may require accessing and selecting multiple information sources or contact with clients, vendors, or outside sources to obtain information. - Performing as liaison for copier/office machine support and servicing. - Ordering office and dormitory supplies. - Maintaining and coordinating file plans and permanent record storage. - Serving as an alternate point of contact for facility and dormitory reservations. - Creating requisitions for purchases. - Posting daily receipts to customer accounts. - Submitting and tracking work orders for building maintenance issues. - Assisting with maintenance of the POST in-service training class calendar. - Supplying meal count requirements for academy students and instructors to the on-site cafeteria. Minimum Qualifications Experience: - Monitoring a records system to identify and correct errors. - Researching a variety of sources to resolve problems. - Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments. - Entering and retrieving data using a computerized records system. - Ability to keyboard/type at the rate of 40 net wpm or more. - Experience working with sensitive or restrictive data. - Experience using word processing software to create and modify documents. DESIRED QUALIFICATIONS: (EXTRA CREDIT) - 1-2 Years of Customer service. - Good knowledge or practical experience using Microsoft Excel and other office software. - Strong interpersonal skills. - Ability to Work in an environment with multiple conflicting demands and frequent interruptions. - Effective communication skills and experience dealing tactfully with co-workers and diverse external customers, some of whom may be irate or under stress. - Ability to prioritize work and meet deadlines. - Skills in establishing and maintaining effective working relationships with others. This is required for this position. - Yes - No 06 Do you have at least one year of work experience working with sensitive or restricted data such as financial, personal, and medical with the responsibility to protect the confidentiality of that information?
